GoHighLevel data management
Your GHL sub-accounts are full of duplicates
GoHighLevel matches contacts on email and phone. Every re-import, every form fill with a different address, every phone number typed a new way creates another record. We clean it — contacts, custom fields, tags and pipelines — across one sub-account or your whole agency.
Can you clean GoHighLevel CRM data?
Yes. GoHighLevel data management is our most-requested service. We deduplicate contacts, standardise custom fields, verify every email through ZeroBounce, rebuild tag architecture and clean pipelines — for a single sub-account or across an entire agency. Fixed price from $250, typically delivered in 2–5 days.
You probably need this if…
- The same lead appears three times because they filled in two forms and called once
- Custom fields were created ad-hoc and now mean different things in different sub-accounts
- Your tag list has grown past 200 entries and nobody knows which ones are live
- You are onboarding a client from HubSpot or ActiveCampaign and dreading the import
- SMS and email are going to numbers and addresses that stopped working months ago
- Pipeline reporting is wrong because opportunities are attached to duplicate contacts

The method
How a GoHighLevel cleanup runs
Same four-layer protocol we run on every CRM, adapted for GHL’s field and tag structure.
What we do, in order
- Export & profile — every field, its fill rate, and how many distinct values it holds. This is where the tag sprawl becomes visible.
- Standardise first — casing, punctuation, phone formats and company naming. Do this before deduplication or the matching finds nothing.
- Fuzzy deduplicate — match across name, email domain and normalised phone, then merge so the surviving record keeps every populated field.
- Verify & re-import — ZeroBounce on every address, then an import-ready CSV with a field-mapping guide and a documented tag taxonomy.
What you get back
- Deduplicated contact file, import-ready for GHL
- Merge log showing every record combined and why
- Standardised custom fields with a naming convention
- Tag taxonomy document — canonical list, retired duplicates
- Phone numbers normalised to E.164 so SMS actually sends
- ZeroBounce verification report with per-record confidence
- Opportunity records re-linked to the surviving contacts
- 30 days of post-delivery support
Agency work
Multi-sub-account cleanups
Consistent field structure
Every sub-account ends up with the same custom field names and types, so reporting across clients finally aggregates correctly.
Cross-account deduplication
The same person appearing in three client sub-accounts is sometimes legitimate and sometimes a billing problem. We flag rather than assume.
Snapshot-safe
Snapshots carry structure, not contacts. We handle the data half of the migration that snapshots deliberately leave behind.

Questions
GoHighLevel data, answered
Can you clean GoHighLevel CRM data?
Yes. GoHighLevel data management is our most-requested service — 237 of our 282 client reviews come from GHL and CRM data work. We deduplicate contacts, standardise custom fields, verify emails through ZeroBounce, rebuild tag architecture, and clean pipelines across single sub-accounts or an entire agency.
How do I remove duplicate contacts in GoHighLevel?
GoHighLevel matches on email and phone, so duplicates slip through whenever a contact is entered with a different address, a formatted phone number, or a typo in the name. We export the sub-account, run fuzzy matching across name, email domain and normalised phone, then merge rather than delete so no field data is lost. The cleaned file is re-imported with a mapping guide.
Do GoHighLevel snapshots include contacts?
No. Snapshots capture system assets only — funnels, workflows, pipelines, calendars and templates. Contacts, conversations, call logs and billing settings stay in the source sub-account and must be migrated separately by CSV. This catches out most agencies mid-migration.
Can you migrate a client from HubSpot or ActiveCampaign into GoHighLevel?
Yes. Contacts, custom fields, tags and opportunity records migrate by CSV. Automations cannot be lifted across — they have to be rebuilt as GHL workflows, because the underlying structures differ. We clean and deduplicate during the migration so you are not carrying the old mess into the new system.
How much does GoHighLevel data cleaning cost?
From $250 for up to 2,000 contacts in a single sub-account, $650 for up to 6,000 with enrichment and tag restructuring, and from $1,400 for multi-sub-account agency work. Every quote is fixed against a written scope before we start.
Do you work across multiple GHL sub-accounts?
Yes. Agency-level work is common for us — consistent field structure across sub-accounts, deduplication within and between accounts, and a documented tag taxonomy your team can maintain afterwards.
Will you work inside our GoHighLevel account or from an export?
Either. Most clients prefer we work from a CSV export for a first project and hand back an import-ready file with a field-mapping guide. If you'd rather we work in-app, a user account at the appropriate permission level is enough.
How long does a GoHighLevel cleanup take?
A single sub-account under 2,000 contacts is typically 2–3 days. Up to 6,000 contacts with enrichment runs 4–5 days. Multi-sub-account agency projects are scoped individually. You approve a test batch before we touch the full dataset.
