Software looks cheaper on a monthly basis and often is — provided somebody runs it. An unattended tool is a subscription, not a solution.
The costs nobody puts in the comparison
Comparing a service quote against a software subscription misses most of the picture. The full stack on the in-house side includes:
- Fully loaded employment cost, not salary — typically 20–30% above base
- Tooling: verification credits, enrichment seats, licences
- Management time — someone senior reviewing the work, the line item nobody budgets
- Onboarding: four to eight weeks before full productivity
- Idle capacity between projects
- The cost of an error: a bounced campaign, a damaged sender reputation, a migration that loses history
How to compare properly
Ask every provider for the same three numbers:
- Total fixed price for your actual record count, not a rate card
- What is included — verification, enrichment, re-import, accuracy report, revisions
- What happens if the scope grows — a good answer is “we stop and re-quote before doing the work”
Then divide the total by the number of verified usable records you expect back. That single figure makes wildly different-looking quotes directly comparable.

Is data cleaning charged per record or per project?
Both exist. Enterprise BPOs typically quote per record, which suits very high volumes. Specialist teams usually quote a fixed price per project, which removes the risk of an open-ended bill. We quote fixed price against a written scope.
Why is there such a wide price range?
Because 'data cleaning' covers everything from deduplicating one spreadsheet to consolidating five systems with full verification and enrichment. The volume matters less than the scope.
Is cheap data cleaning worth it?
The gap between a careful supplier and a cheap one is larger than the gap between in-house and outsourced. Ask for a documented method and a test batch before you commit. If a provider will not show you their QC process, the price is irrelevant.
